AI assistant for therapists and counsellors
Last updated
Ordaily is your PA in WhatsApp, built with AI, for therapists and counsellors: between sessions it sorts your client email, drafts replies in your style, keeps your diary and reminders, and sends nothing until you say yes. A whole PA for about R1,000 a month, in WhatsApp. It isn’t an AI agent that acts for you: it gathers the admin, organises it and helps you deal with it, and you decide what goes out.
The admin around the sessions
Your day is booked in fifty-minute sessions, and your phone stays face down while you are with a client. The admin collects in the gaps: a new enquiry asking whether you have space, a client who needs to move next week, a GP’s referral to acknowledge, a supervision slot to confirm.
Each of those needs a careful reply, and ten minutes between sessions is rarely enough to write one well. If you work without a receptionist, every message comes back to you, and the unanswered ones are still there in the evening.
Ordaily gives that admin one place, in WhatsApp, where you can deal with it in the gaps by text or voice note.
A morning with Ordaily
- 1Before the first client
The briefing is on WhatsApp at the time you chose: five sessions today, a new enquiry asking about availability, and your reminder that a report for a referring doctor is due on Thursday.
- 2Between sessions
You send a voice note: “Reply to the new enquiry. I have space on Tuesday afternoons, and I’d suggest a short call first.”
- 3The draft, for your eyes
Ordaily writes the reply in your style and shows it as a confirm card with the recipient, the subject and the full text, so you can read every word before it goes.
- 4Your yes
You say yes and it goes from your own Gmail, with 30 seconds to undo. You are back in the room on time.
Illustrative; not a real account.
What Ordaily does for therapists and counsellors
Your inbox sorted into urgent, priority and follow-up, so the enquiry that needs an answer today is at the top when you come out of a session.
It learns about you and writes in your voice: warm where you are warm, brief where you are brief. You read each draft before you say yes.
Book, move and cancel sessions in Google Calendar with invites, and a Google Meet link for online sessions, each sent on your yes.
Write-ups every Friday, supervision once a month, a CPD deadline: one-off and repeating reminders and to-do lists, set by text or voice note.
A morning briefing at your time and a Sunday week-ahead, as text, a voice note or a PDF: sessions, the emails that need you, invites, tasks and reminders.
A WhatsApp alert when an email is marked urgent, so you see it at the next break rather than at the end of the day.
Ask it the way you would ask a PA
You ask, it drafts, you say yes, it sends. Your own reminders and to-dos are set straight away.
“Email Dr Naidoo, thank her for the referral, and say I’ll contact the client this week.”
It drafts the email in your style, you say yes, and it goes from your Gmail.
“Move my 3pm on Thursday to Friday at 10.”
It moves the session in Google Calendar and sends the updated invite once you say yes.
“Remind me every Friday at 4 to finish my session notes.”
A repeating reminder, set straight away.
What Ordaily doesn’t do
- It doesn’t connect to practice-management, online booking or medical-aid billing software. It works from your Gmail and Google Calendar, so a session booked elsewhere is invisible to it unless it is in your Google Calendar too.
- It doesn’t keep clinical notes or client records. It can remind you to write them; it is not where they live.
- It isn’t a crisis service. An urgent-email alert is a convenience, not a safety net, so keep your own arrangements for clients at risk.
- It doesn’t answer phone calls, so calls to your practice number still come to you.
- It doesn’t send appointment reminders to clients on its own. You can ask it to email a client, and that email waits for your yes.
- It doesn’t read photos or PDFs you send it yet; that is coming soon.
A note on client information
Client emails can contain health information. Ordaily is Built for POPIA and hosted in Johannesburg. AI processing and WhatsApp delivery use international providers; the AI providers are Anthropic (Claude), OpenAI (voice transcription, voice synthesis and search indexing) and ElevenLabs. Your content is never used to train AI.
Read how approvals and your data work and the privacy policy, and check what suits your practice before you connect a mailbox that carries client information.
What it costs
A whole PA for about R1,000 a month, in WhatsApp. Ordaily costs about R1,000 a month: Standard is R999 a month in early access, locked for 12 months, then R1,500 a month, and you can cancel any time. By comparison, a human PA in South Africa costs about R15,000–R33,000 a month (sources below). The full comparison: PA or AI assistant? The real cost in South Africa.
Questions
- Is Ordaily suitable for client emails that contain health information?
- That is your decision to make for your practice. Ordaily is Built for POPIA, hosted in Johannesburg, and never uses your content to train AI. AI processing and WhatsApp delivery use international providers, which the privacy policy names. Read how approvals and your data work before you connect a mailbox that carries client information.
- Will Ordaily reply to a client without asking me?
- No. Every email and every invite comes to you as a confirm card first, and nothing is sent until you say yes. After you approve, you have 30 seconds to undo.
- Does it work with my practice-management or booking software?
- No. Ordaily works from your Gmail and Google Calendar, plus Slack and ClickUp if you use them. It doesn’t connect to practice-management, booking or medical-aid billing software.
- Can it send session reminders to my clients?
- Not on its own. Its reminders are for you: write-ups, supervision, deadlines. To remind a client about a session, ask Ordaily to email them; it drafts the message and waits for your yes.
- Can I run it from my phone between sessions?
- Yes. Everything happens in WhatsApp, by text or voice note, and it can answer with a voice note when reading is not practical. Setup takes about 3 minutes. You connect your Google account and start.
Keep the sessions. Hand over the admin.
