What is an AI PA (personal assistant)?

An AI PA (personal assistant) is software that does the admin a human PA would do for you, such as sorting and drafting your email, booking and moving meetings, setting reminders and briefing you on your day, working inside your own accounts and, in a good one, asking for your yes before anything goes out in your name. You may also see it called an AI personal assistant or an AI virtual assistant. It is not the same as a customer-service chatbot, which answers your customers rather than running your own day.
What an AI PA does
An AI PA takes the admin around your work off your hands. You tell it what you need in plain words, by text or voice note, and it does the steps in your own accounts:
- Email: reads your inbox, tells you what needs you, drafts replies in your style, and sends them when you approve.
- Calendar: checks when you are free, books meetings with invites, and moves or cancels them when plans change.
- Reminders and to-dos: remembers the small things you tell it, by text or voice note, and reminds you at the right time.
- Briefings: tells you each morning what is on today: meetings, emails waiting for you, tasks and reminders.
- Your other tools: catches you up on work chat and task lists, so you do not have to open each app to see what moved.
AI PA, human PA, virtual assistant or chatbot?
The four get mixed up. Two are people and two are software, and only an AI PA is software that works for you on your own admin.

What to look for in an AI PA
It asks before it sends
An AI PA acts in your name, so the safest ones show you each email, invite or message first and send nothing until you say yes. Look for a clear confirm step and a way to undo.
You know where your data is kept
It reads your email and diary, so ask where your data is kept, whether it is encrypted, whether your content trains anyone’s AI model, and how to delete it. In South Africa, ask how it handles POPIA.
It works where you already are
An assistant you have to remember to open does not save much. The useful ones reach you where you already work, such as WhatsApp, and take voice notes as well as text.
It connects to the tools you use today
Check that it works with your mail and calendar now, not on a roadmap: Gmail or Outlook, Google Calendar or Microsoft, plus your work chat and task list.
It tells you when it cannot do something
A good AI PA says plainly when it is unsure or cannot do a task, rather than guessing.
The price is clear
A flat monthly price in your own currency is easier to plan for than per-use credits billed in dollars.
