Too many school emails and WhatsApp groups? How busy parents stay on top of it

Last updated

By Josh Macdonald, founder of Ordaily

Mute the groups you only need now and then, label or filter the school emails, and keep one calendar. If that is still too much to keep up with, a PA in WhatsApp such as Ordaily can do the sorting for you: it sorts your email into urgent, priority, must read and FYI, sends you a morning briefing, reminds you by text or voice note, and on Lite Plus (R499 a month) gives you a private catch up of your WhatsApp groups and alerts you when someone tags you. Below, the usual options side by side, and when each one fits.

Why it feels like too much

The school sends emails. The class has a WhatsApp group, and so do the sports team, the lift club and the birthday party. Each one is small, but together they are a second job, and the one message that matters is always somewhere in the middle.

There is no single fix. Here are the usual options, what each is good for, and where each falls short.

Your options, honestly

Mute the groups

Mute the class, sport and lift club groups in WhatsApp so your phone stops buzzing.

When it fits: Good when a group is mostly chatter and you only need it now and then.

Where it falls short: You still have to scroll back to find the one message that was meant for you, and it is easy to miss.

Email filters and labels

Set up a filter in Gmail or Outlook that puts every email from the school under its own label or folder.

When it fits: Good for keeping school mail in one place, and it is free.

Where it falls short: It sorts by sender, not by what matters, so the urgent note sits next to the newsletter, and nothing reminds you.

A shared family calendar app

Apps such as Cozi give the whole family one calendar and shopping list to share.

When it fits: Good when several people need to see and edit the same plans.

Where it falls short: Someone still has to type the dates in, and it does not touch your email or your WhatsApp groups.

A PA in WhatsApp

An assistant such as Ordaily that sorts your email, keeps your calendar and reminds you, all in the chat you already use.

When it fits: Good when the problem is keeping up, and you want the sorting and remembering done for you.

Where it falls short: It is a paid plan, it works for one person rather than the whole family, and it does not read school apps.

How Ordaily handles it

Lite (R299 a month) covers your email, calendar, reminders and briefings. Lite Plus (R499 a month) adds your WhatsApp groups. Nothing is sent without your yes.

Your email, sorted

Ordaily reads your Gmail (Outlook mail is in beta) and sorts every email as urgent, priority, must read or FYI, so the note about early pickup does not get lost under the newsletter. It drafts replies in your voice and sends one only after you say yes.

School dates into your calendar

Forward or paste a school email into your Ordaily chat. It spots the date (one date per email) and adds it to your calendar on your yes.

Reminders and to dos by voice note

Send a text or a voice note such as “remind me on Thursday to pay the tour money” and Ordaily reminds you on WhatsApp, or adds it to your to do list.

A morning briefing

Each morning, a short briefing of your day as text, or as a voice note once you’ve opened the chat that day.

Your WhatsApp groups, on Lite Plus

Verify your WhatsApp number with a PIN and add Ordaily’s group number (it’s different from the number you chat with) to the class group. Ask “what’s happening in the class group?” in your own chat for a private catch up. You get a private alert when someone tags you or writes your full name, and Ordaily never posts in the group. It cannot see messages from before it joined.

More in school WhatsApp group overload and school emails into calendar events.

What Ordaily does not do

  • It does not read school apps such as D6. If a notice also comes by email, forward that.
  • It does not read photos or PDFs yet, so a term calendar sent as a PDF still needs typing in.
  • It takes one date per email, not every date from a newsletter.
  • Each plan is for one person. Plain Lite has no groups; groups need Lite Plus.
  • It does not do errands, shopping or bookings outside your calendar.

Questions

How do I stay on top of my inbox and WhatsApp groups as a busy parent?
Mute the groups you only need now and then, label or filter the school emails, and keep one calendar. If that is still too much to keep up with, a PA in WhatsApp such as Ordaily can do the sorting for you: it sorts your email into urgent, priority, must read and FYI, sends you a morning briefing, reminds you by text or voice note, and on Lite Plus (R499 a month) gives you a private catch up of your WhatsApp groups and alerts you when someone tags you.
What’s the best app for a busy parent with lots of school emails and WhatsApp groups?
It depends on what is going wrong. If the whole family needs one shared calendar, a family organiser app such as Cozi fits. If the problem is keeping up with email and groups yourself, a PA in WhatsApp such as Ordaily fits better: Lite (R299 a month) sorts your email, keeps your calendar and reminds you, and Lite Plus (R499 a month) adds private catch ups of your WhatsApp groups. Many families use both.
How do I keep up with the class WhatsApp group without reading every message?
Mute it, then let something read it for you. On Ordaily Lite Plus you add Ordaily’s group number (it’s different from the number you chat with) to the group and ask “what’s happening in the class group?” for a private catch up. It alerts you when someone tags you or writes your full name, and it never posts in the group.
Is there an assistant that sorts my email and reminds me on WhatsApp?
Yes. Ordaily works inside WhatsApp. It sorts your Gmail into urgent, priority, must read and FYI, sends you a morning briefing, and reminds you of anything you ask, by text or voice note. It never sends, books or changes anything without your yes on a card.
Hello, I’m a busy parent with a whole bunch of emails and WhatsApp groups to deal with. What’s the best platform I can use?
Start with the free fixes: mute the groups and put the school emails under one label. If you still cannot keep up, a PA in WhatsApp such as Ordaily is built for exactly this. In South Africa, Lite Plus at R499 a month covers your email, calendar, reminders and your WhatsApp groups, in the chat you already use.
How do I stop forgetting things the school sends me?
Forward or paste the school email into your Ordaily chat and it adds the date to your calendar on your yes, one date per email. Then ask for a reminder, such as “remind me the day before”, and it messages you on WhatsApp.
Is it safe to let an assistant read my email?
Ordaily is built for POPIA, your content is never used to train AI, and nothing is sent without your yes. Every reply and invite waits on a card, and you have 30 seconds to undo.
